Zoom Guidance

This resource provides guidance to support the online learning experience when attending a PAPYRUS suicide prevention session and safety and wellbeing considerations.

If you are new to Zoom and the online environment, please take time to set up your computer before the scheduled session. If you have any problems, please contact the area team organising your session.

Please follow the recommendations below:

Setting up

Please allow time to download the application, set up your account and test your mic and camera before the session.

  • Download the Zoom application to your desktop or laptop PC or Mac. If you already have Zoom, please ensure it is the most up to date version. https://zoom.us/support/download
  • Phones and tablets have limited functionality and we feel would not be appropriate to use at this session. The minimum system requirements can be found here https://support.zoom.us/hc/en-us/articles/201362023System-requirements-for-Windows-macOS-and-Linux
  • If you are new to using Zoom a free account is sufficient. You do not need to pay for a subscription.
  • A working camera/webcam and microphone are essential. These are utilised for safeguarding measures and as part of the learning experience.
  • Once you have the Zoom application on your computer, start a “new meeting”. This allows you to check the mic is working and work out the best position for your camera/keyboard

Please ensure you are familiar with the following controls and functions:

  • Microphone – Usually situated at the bottom of the screen, this allows you to mute and unmute yourself during the workshop.
  • Video -The video camera on/off button and menu is situated next to the microphone button. You will need to click “start video”.
  • Other options for video and microphone are accessed using the arrows next to the icons. These allow you to choose a different mic/camera if you are using an external webcam.
  • Some users can also adjust their background
  • Zoom Chat function- This feature allows you to talk privately to the safeguarding/wellbeing representatives, ask for support, raise concerns or answer questions.

The Environment

  • For safety and comfort, set up your workspace so that you will not be interrupted or distracted. Consider the position of your camera and screen, can you use your keyboard and take notes easily. Also consider your privacy: what can other participants see behind you?
  • Ensure background noise is at a minimum. Wearing headphones can help, test them before the session.
