Teams Guidance

This resource provides guidance to support your online learning experience and safety and wellbeing considerations when attending a PAPYRUS suicide prevention session.

If you are new to Microsoft Teams and the online environment, please take time to set up your computer before the scheduled session. If you have any problems, please contact the area team organising your session.

Please follow the recommendations below:

Join a meeting without a Teams account

You can join a Teams meeting anytime, from any device, whether or not you have a Teams account. If you don’t have an account, follow these steps to join as a guest.

  • Go to the PAPYRUS email with the session invite and select the hyperlink Click here to join the meeting, this will open a web page, where you’ll see two choices:
  • The Windows app is the recommended way of joining a Teams meeting.  To download, please click Download the Windows app and this will start your download.  When finished, please open up the download.  This will open up the meeting and you can enter your name (you will appear as a guest in the meeting).
  • If you are unable to download the app, you can join using the browser.  Click Continue on this browser and it will take you to the call.
  • When you’re ready, click Join now. This will bring you into the session lobby. The facilitator will be advised that you are there and will admit you into the session.

Join a meeting with a Teams account

Phones and tablets have limited functionality, and we feel would not be appropriate to use at this session. The minimum system requirements can be found here

Setting up

  • A working camera/webcam and microphone are essential. These are utilised for safeguarding measures and as part of the learning experience.
  • To check your mic and camera are working before the meeting, please select your profile picture, then Settings > Devices. Choose Make a test call under Audio devices. (The test call feature is currently unavailable for Teams on the web.)

Please ensure you are familiar with the following controls and functions:

  • Microphone – Situated at the top of the screen, this allows you to mute and unmute yourself during the workshop.
  • Video -The video camera on/off button and menu is situated next to the microphone button. You will need to click “start video”.
  • There is the option to ‘raise your hand’ by clicking the hand button however this function is not utilised during our sessions.
  • Other options for video and microphone are accessed using the arrows next to the icons. These allow you to choose a different mic/camera if you are using an external webcam.
  • Some users can also adjust their background.
  • Chat function- This feature allows you to message the facilitator privately. You can also use this function to ask for support, raise concerns or ask questions.

The Environment

  • For safety and comfort, set up your workspace so that you will not be interrupted or distracted. Consider the position of your camera and screen, can you use your keyboard and take notes easily. Also consider your privacy (what can other participants see behind you).
  • Ensure background noise is at a minimum. Wearing headphones can help, test them before the session.
